Introduction
A vacancy exists for an Operations Manager at Medipost Pharmacy in Gezina, Pretoria, The responsibility of the role is to manage the claiming of funded prescriptions, and ensuring professional service is provided to Medipost customers within SLA requirements and Business expectation. Implementation of strategies that are aimed at improving customer experience and reducing customer complaints. The Order Processing Operations Manager will be responsible for a staff complement of approximately 320-350 employees referred to as Funded, and 100 as Department of Health (CCMDD).The manager of Order Processing is delegated by the Responsible Pharmacist to ensure proper management and implementation of the GPP, Medicines act, and Pharmacy Act in the division. Optimization of revenue through product dispensing (MML), optimizing employee output through system enhancements and driving efficiencies, reduction of expenses, and continuous strategy implementation will form part of the daily, weekly and monthly responsibilities. Stakeholder relationship management for external clients and performance presentation for clients when required. Ensuring that the key performance appraisals for order processing managers and employees are done on time and performance enhancements on the gaps identified are implemented accordingly. Ensuring that the department implements strategies that are in line with the business goals.
Job description

Staff Management

  • Change Management application to ensure proper and effective implementation of Business Strategies and Goals.
  • Management of Order Processing Managers and their respective departments in accordance   with Company Polies and Procedures, as well as relevant SOP’s. 
  • Working closely with the Human Resource Department to ensure proper and appropriate Employee engagements.
  • Daily monitoring of the quality control processes to ensure a reduction in daily errors and service failures.
  • Determining training needs and liaison with MTA to ensure employee upskilling.
  • Service failure analysis, identifying of root causes and employee engagements.
  • Build and develop a positive team.
  • Identify and develop high potential individuals.
  • Succession planning through upskilling of employees.
  • Ensure staff retention ratio complies with company standards

 

Process Management

  • Ensure SLA adherence on the Mailbox and Rejection status of above 84% at all times on Chronic and HIV dispensing
  • Manage Oncology and Special Meds departments to ensure patient and practice expectancies are met
  • Specifying quality requirements and put processes in place to monitor and maintain excellent standards
  • Implement strategies with regards to optimal product dispensing
  • Ensure output is managed per department and monitoring of performance
  • Assist with optimizing of Stock Management and Controls
  • Good understanding of Medical Aids
  • Liaison with the Marketing team to implement and obtain outcomes in accordance to Agreements
  • Ensure Health and Safety as per Policy is applied in the division
  • Responsible to implement and maintain Good Pharmacy Practice rules and regulations.

General Management

  • Analysing Complaints and putting processes in place to ensure compliance towards the Company’s Policies, SOP’s and guidelines as per the South African Pharmacy Council
  • Determining in-house quality procedures, standards and specifications
  • Assessing client requirements and ensuring that these are met
  • Setting client service standards and implementing controls and checks
  • Compiling and presenting managerial and technical reports in applicable forums
  • Acting as a catalyst for change and improvement in performance and quality of the processes in Order Processing
  • Manage expenses with reference to vacancy budgets and other operational expenses
  • Directing objectives to maximise profitability
  • Manage Monthly Targets by ensuring capacity and applicable time allocations
  • Optimise utilisation of operational capacity to ensure SLA adherence
  • Capacity planning and budget setting for the financial year
  • Driving MML adherence. Working with the Medicine Policy Manager to ensure indication on the MedipostAPP and employee compliance.
  • Ensure adherence to E-scripting processes to optimise work output
  • Liaison with Representatives of suppliers or other strategic business partners
  • Close working relationship with the Marketing team to ensure new projects are planned and implemented as per expectancy
  • Ensure and maintain a good working relationship with Patient Communication and Production divisions. Collaboration and optimization of processes throughout the Operations team
  • Liaison with IT, Finance, Security departments to limit risk and ensure good governance throughout the divisions.
  • Risk management through analysing of processes, employee behaviour and in general
  • Ensure the Order Processing area complies with housekeeping standards
  • Ensure all processes within the Order Processing area complies to GPP
  • Attending and reporting in various applicable forums

Minimum requirements

B Pharm

·         Minimum 5 years’ experience in Management
